Assumption of Risk, Release of Liability, Terms, Privacy & Consent Policy

By participating in any EGO-FREE event or activity, either in person or through digital registration (including app or website bookings), you acknowledge and agree to the following:

1. Voluntary Participation & Assumption of Risk
I understand that participation in EGO-FREE activities is entirely voluntary and involves physical exercise that carries inherent risks, including but not limited to injury, illness, or health complications. I confirm that I am medically fit and have no known condition that would prevent me from participating safely.

2. Health Responsibility & Medical Consent
I accept full responsibility for my health and well-being during all activities. I agree to consult a medical professional if needed. In the event of a medical emergency, I authorise EGO-FREE staff or run leaders to obtain appropriate medical treatment on my behalf. I acknowledge that I am responsible for any related medical expenses.

3. Waiver & Release of Liability
I hereby waive, release, and discharge EGO-FREE, its organisers, volunteers, leaders, affiliates, and sponsors from all liability, claims, and demands arising from injury, loss, or illness related to my participation, whether foreseeable or not.

4. Event Conduct & Safety Compliance
I agree to follow all safety protocols and guidance issued by EGO-FREE. I understand the organisers may ask any participant to withdraw from a session for safety, behavioural, or health-related reasons. I will uphold the club’s inclusive, respectful, and ego-free environment.

5. Photography, Video & Media Release
I grant EGO-FREE permission to photograph, film, and use my likeness from events for promotional use across social media, print, and digital platforms without compensation. If I do not wish to appear in media, I will notify organisers in advance.

6. Safeguarding Commitment
EGO-FREE is committed to participant safety and a harassment-free space. Any concerns about safety, behaviour, or wellbeing will be taken seriously and handled confidentially by club leads. This policy applies to adults (18+); if minors join in the future, it will be revised accordingly.

7. Privacy & Data Use Policy
By participating, I acknowledge that EGO-FREE may collect and use personal data including name, contact information, emergency contacts, fitness details, and event media. This data will be used to:

• Manage event registration and safety

• Communicate event logistics and updates

• Promote future events (with consent)

• Comply with legal or regulatory obligations

Data is stored securely and not sold or shared beyond operational needs. I may request access to, correction of, or deletion of my data at any time.

8. Marketing & Communications Consent
I consent to receive communications from EGO-FREE about upcoming events, community updates, offers, and wellness content. I understand I can opt out anytime via the unsubscribe link or by contacting info@ego-free.club.

9. App & Online Booking: Automatic Consent
By registering for an event via the EGO-FREE app or online platform, I acknowledge and agree to the following:

• I consent to the full Terms & Conditions, Privacy Policy, and all sections of this Participation Agreement.

• I grant permission for the collection and use of personal data and media as outlined above.

• I accept all health, liability, and safety disclaimers.

• I authorise the use of my booking data for administrative, safety, and promotional purposes, as required.

• I confirm I am 18+ or have parental/guardian consent if underage bookings are ever permitted.
   

10. Club Governance & Constitution (Summary)
EGO-FREE Run Club is a community-led initiative overseen by a volunteer committee. The club’s purpose is to promote physical health and mental wellbeing through inclusive, ego-free group movement. All proceeds support this mission.

By booking or attending an EGO-FREE event, I confirm I have read, understood, and agreed to all terms outlined above, including those implied by digital registration.
